Compare diesel generator fuel consumption quotations by locking the exact set, duty rating, load point, output basis, fuel unit, conditions, and source record.
Compare a diesel-generator fuel figure only when it belongs to the exact offered set and the duty rating, load point, output boundary, unit, fuel basis, conditions, method, and source record all align. Mark a complete row COMPARE, send a correctable gap back as RETURN, and STOP on an untraceable or conflicting claim; the lowest L/h or gal/h headline does not override that gate.
Exact set behind the fuel figure
Start with identity. A fuel row for a similar kVA class, engine family, or catalogue series isn't proof for the set you may buy.
Ask the seller to link every fuel row to a quote number, line item, and revision. The same record should name:
- Full generating-set make, model, build code, and option list.
- Engine and alternator models when the seller gives them.
- Open or enclosed build, cooling, fuel system, control panel, and relevant auxiliaries.
- Frequency, voltage, phase, speed, power factor, and market setup.
- The data sheet, test record, calculation sheet, or formal letter that owns the figure.
A file can still be wrong even when the model name looks close. An enclosure, cooling pack, emissions setup, alternator, or electrical change may create a different comparison basis. Keep the row open until the seller confirms the source applies to the quoted build.

Rating and load point
"Fuel use at 75% load" is incomplete. The buyer still needs to know 75% of which named rating and what electrical kW that point represents.
For every row, require the exact duty label and its issuer. Record rated kW and kVA, the stated power factor, and any terms tied to that rating. Use the prime, standby, and continuous rating guide when supplier labels don't line up.
Next, state the output point:
- Load as a percentage of the named rating.
- Electrical kW at that same point, if supplied.
- Gross or net output.
- Generator terminals, switchboard, or another clear boundary.
- Included and excluded auxiliary loads.
Don't turn kVA into kW with a stock power factor. Use only the factor declared for that set and rating. Don't move a standby fuel table into a prime-duty comparison either.
The ISO 8528-1 overview is a useful lead for named generating-set rating terms. It does not replace the seller's exact document or prove a fuel rate.
Original unit and fuel basis
Preserve the seller's value exactly as received. Put any converted value in a separate buyer column with the formula, inputs, source, and date.
Direct unit changes can align display units. They cannot repair a different rating, load, fuel, set, or test method. Mass and volume also need a fuel property:
mass rate = volume rate × documented density
The density must belong to the stated fuel and temperature basis. Without it, a kg/h-to-L/h change is only an assumption. An EPA final rule published in the Federal Register records a named ASTM D975 revision and describes it as covering a range of diesel-fuel properties and grades. That is why the quotation should state both the grade and the cited revision rather than treat "diesel" as one fixed property set.
Specific consumption needs the same-point electrical output:
specific consumption = mass rate ÷ electrical output
That relationship is safe only when the fuel flow and electrical kW cover the same steady point and boundary. Engine-shaft power, assumed kW, or a different auxiliary boundary makes the result unlike-for-like.
Method, conditions, and auxiliaries
The number needs a boundary. Ask whether it is measured, calculated from an engine map, estimated, typical, maximum, or guaranteed. These words are not equal.
The return should name the fuel grade or blend. If an energy basis is used, require LHV or HHV, its value, its unit, and its source. The DOE fuel-properties comparison is a useful warning that fuel categories don't share one energy basis. It isn't a substitute for the fuel behind a quote.
Also collect the stated test or reference conditions:
- Air temperature, pressure, humidity, and altitude when supplied.
- Correction method, load stability, and test length when supplied.
- Fan, pumps, charger, heater, fuel transfer, controls, and aftertreatment boundary.
- Whether return fuel is excluded and the figure means net use.
- Test method, document number, issue date, revision, page, and stated tolerance.

Same-basis comparison without overwriting the source
Use one worksheet for all bidders. The point is to expose gaps, not to force every offer into one neat figure.

Blank is better than guessed. If density, output boundary, or method is missing, leave the cell open and ask for it.

A rough internal case can use this structure:

Every row must belong to the same set, rating, fuel basis, and configuration. The buyer supplies the hours. The seller supplies the rate points. If a required point is missing, label any interpolation as an assumption; don't present it as a maker curve or guarantee.
Compare, return, or stop gate
Move a row into the price model only when its exact set, rating, load, output boundary, unit, fuel, conditions, method, and source all align with the comparison basis.
Return the row when the seller can fix a clear gap. Common return reasons include:
- L/h with no load point.
- A load percentage with no named rating.
- kVA with no stated power factor or kW point.
- kg/h with no density and temperature basis when litres are needed.
- g/kWh with no electrical-output boundary.
- A family table with no link to the quoted build.
- "ISO tested" with no part, edition, method, conditions, or test record.
- A data sheet with no revision after the quote has changed.
Stop using the figure when the seller cannot identify its set or source. Stop as well when documents conflict, the method remains unknown, or a conversion relies on invented density, heating value, power factor, or output.
Controlled fuel-data return pack
Give every bidder the same inputs and reply format. Require the supplier to return:
- Market, site, fuel specification, and intended duty.
- Required kW/kVA, power factor, voltage, frequency, phase, and output boundary.
- Expected hours by load bin when fuel budgeting matters.
- Altitude, temperature range, enclosure, cooling, fuel system, controls, and auxiliaries.
- Each fuel-rate point required, with both the named load percentage and electrical kW.
- Original unit, fuel basis, method, conditions, tolerance, source file, revision, and set confirmation to return.
- Whether the figure supports rough planning, bid comparison, or a contract term.
- A row-by-row exception list for missing, conditional, conflicting, or family-level data, with the source owner and next action.
