Audit the evidence chain from generator quotation and BOM through certificate scope, engine identity, reports, nameplate, and production records.

A certificate beside a generator quotation does not prove that it covers the offered unit. Build one Certificate-to-Unit Identity Chain for each quoted build: link the quote and build sheet to the document scope, set, engine, nameplate and production record. Return missing supplier links; hold unresolved scope or approval questions. A match links records to a unit. It does not validate a certificate or approve market access; those decisions remain with the qualified owner.

Start with the quoted generator, not the certificate

Start one quote record with the supplier's quote number, date and revision. Add the exact model wording, quantity, destination, variant, options and linked bill of materials (BOM) or build sheet. Copy phrases such as “export model,” “same as sample,” or a claimed mark exactly as written. They are supplier claims, not verified facts.

The quotation row is the comparison anchor. Every later certificate, declaration, report, manual, drawing, label, photograph, and production record must either link to this row or remain an unresolved item. If a supplier revises the engine, alternator, controller, enclosure, electrical output, label set, destination version, or model suffix, reopen all downstream matches that could be affected.

The first-article approval and production-transfer process records later deviations and changes. This page provides the identity baseline that change control must revisit.

Build a register before judging any document

Inventory every supplied file and physical record. Keep certificates, declarations, test reports, schedules or annexes, manuals, datasheets, drawings, BOMs, nameplate artwork, label photos, database extracts, factory records, and shipping records as different evidence types.

For each item, record:

  • original filename, type and document number;
  • issuer, holder or owner, and any named signatory;
  • issue date, revision, and status or expiry wording exactly as printed;
  • page count and linked attachments;
  • dates received and checked.

Keep the unedited source file alongside the working copy. A new working filename must not hide where the record came from.

A declaration is not a test report. A report about one sample does not automatically cover every production unit. A schedule needs its linked main document, and a certificate title cannot replace its stated scope.

Map certificate scope to the exact model and variant

Ask a narrower question than “Is there a certificate?”: which model, variant, revision, site, holder, and stated scope does this complete document identify?

Read the main document together with any schedule, annex, addendum, attachment, conditions, or model list supplied as part of it. Transcribe the model exactly, including prefixes, suffixes, punctuation, spacing, and variant codes. Keep the document’s standards or requirement references as printed without interpreting what they require or concluding that they apply to the destination.

Transcribe each join key across the record set. A blank or different cell needs a difference docket, provenance, and named confirmation owner.

Return a package with a missing annex or unreadable scope. Also return it if the model is too abbreviated to match, the holder differs without explanation, or the quote and BOM do not link to a listed build. A family name, nearby model, similar photo or sales claim cannot fill that gap.

Keep generator-set, engine, and production identities separate

The generator set and its engine are related commercial objects, but they are not the same identity. Record the generator model and configuration from set-level sources. Separately record the engine manufacturer, model, family wording, engine label, serial number, production batch, and manufacture information only where those fields appear in the supplied evidence.

An engine-family reference does not establish the complete generator-set configuration. Likewise, a generator nameplate may identify the set without proving which engine evidence applies. Link the two through the controlled BOM, configuration record, production record, or another traceable document owned by the manufacturer.

Serial and batch data form a third layer. They can help connect a photographed unit or shipment to production records, but they do not expand the scope of a certificate or test report. Keep generator serial, engine serial, build record, shipment reference, and photo source as separate fields until the evidence connects them.

Reconcile the nameplate without overusing it

A nameplate helps identify a unit; it is not a complete approval file. Request a photo showing the plate on the generator, plus close-ups clear enough to read. Keep the original file, its source and who supplied it. Retain the capture date and file metadata where available.

Transcribe visible fields exactly. Compare them with the quotation, BOM, drawings, manual, report sample identity, certificate model list, and production record on the same configuration and revision basis. Do not infer hidden components, document scope, performance, certification status, or destination acceptance from the plate.

A cropped image, edited screenshot, generic factory image, or photo without a unit link remains context only. If the nameplate artwork and photographed plate differ, preserve both and request the approved revision and as-built explanation.

Classify differences instead of silently correcting them

Give every compared field one controlled state:

  • EXACT MATCH: the same identity appears on the same basis across the applicable records.
  • LINK REQUIRED: the wording differs, but the responsible owner may be able to provide a traceable alias, revision, corporate, or configuration relationship.
  • UNRESOLVED MISMATCH: records conflict or no reliable documentary link exists.
  • NOT EVIDENCED: a required field or applicable record has not been supplied.

A commercial alias and factory model may be explainable, but similarity is not evidence. A parent-company name and document holder may have a legitimate relationship, but procurement should not invent it. A report revision that predates a quotation is not automatically invalid or applicable; its relationship needs qualified confirmation.

Do not “clean” punctuation, suffixes, names, dates, or serials in the source column. Put normalized text in a separate working field, retain the exact transcription, and record who confirmed the linkage and through which controlled document.

Complete the Certificate-to-Unit Identity Chain

Use one matrix per quoted generator configuration and production scope. Leave unsupported fields blank or mark them NOT EVIDENCED.

Record document numbers, dates, revisions, model strings, and names exactly as printed. The matrix does not determine whether a standard applies, whether a certificate is valid, or whether the product may enter a market. It only exposes whether the supplied records describe the same commercial and production identity.

Request a traceable supplier return

Send the supplier the frozen quotation row, target destination, exact configuration request, required document types, photograph requirements, and blank matrix. Ask for complete files rather than selected pages, including referenced annexes and schedules.

The return needs named owners for the quote, build, production, documents and corrections. Require four links:

  • each document to the quotation and BOM;
  • each engine record to the configured set;
  • each nameplate photo to its unit;
  • each production or shipping record to the quantity it covers.

When inspection or pre-shipment review is planned, include the identity chain in the approved scope. The generator pre-shipment inspection checklist keeps inspection evidence within its agreed authority. A photograph or inspector note can document identity observations, but it does not independently interpret certification or approve market access.

Decide COMPARE, RETURN, or HOLD

Close each identity gap on its own. A readable nameplate cannot replace a missing annex. A complete certificate cannot identify an unknown quoted variant, and matching model words cannot resolve conflicting engine or production records.

  • COMPARE: the quotation, configuration, document scope, generator identity, engine record, nameplate, and available production links are organized on the same basis for commercial comparison.
  • RETURN: the supplier must provide missing pages, annexes, metadata, full photos, model links, corrected documents, or an explanation owned by the relevant responsible party.
  • HOLD: a critical identity conflict, issuer or holder question, destination applicability issue, controlling evidence gap, or final approval owner remains unresolved.

Stop there. Do not declare a certificate genuine, current, sufficient, legally applicable, or accepted for a destination without the appropriate primary verification and qualified decision. The buyer’s immediate achievement is narrower: every document either connects to the exact quoted and produced generator or has a visible owner and stop condition.
