Build a generator order file by exact configuration, document role, destination route, test scope, packing facts and controlled revisions.

A useful generator document pack is the set of current files tied to one quoted build, one destination route, and one order decision—not the folder with the most PDFs. Start with a configuration key, define what each file must prove, and record every conflict. Freeze only accepted revisions in the purchase order; an unresolved model, route, or document-scope mismatch keeps the order file open.

Freeze the exact build before asking for documents

A model name may cover several real products. Voltage, frequency, phase, rating, engine, alternator, controller, outlets, enclosure, or starting equipment can change while the family name stays the same.

Visible controls and labels are observations, not an order identity. The quote and controlled files must establish the exact build.

Give the build one configuration key with these fields:

Field What to record Stop when
Set identity. Make, exact model, type, and meaningful suffixes. A family page or nearby variant is used instead.
Power basis. Declared kW and kVA, rating name, duty definition, and cited standard edition when claimed. A headline number has no rating basis.
Electrical build. Voltage, frequency, phase, connection, and destination outlet or terminal option. The quote and technical file describe different variants.
Main components. Engine, alternator, controller, breaker, and any option that affects the decision. A component guide cannot be linked to the offered set.
Fuel and start. Fuel or selectable mode, start method, battery, remote or control option. Another fuel or control package appears in the files.
Physical build. Enclosure, frame, tank, wheels, lifting parts, and other agreed options. A representative photo replaces a build list.
Serial or batch ID. Record only after a unit or batch is truly assigned. A sample serial is treated as the future shipped unit.

Each drawer has a job. Retrieve the file by exact build, object, issuer, revision, and accepted use instead of treating every familiar filename as the same proof.

The public ISO 8528-1:2018 scope covers application, rating, and performance classes for relevant engine-driven AC generating sets. It does not prove that an unnamed quote uses a given rating. Require the supplier to state the basis for the offered build.

Give each product file one clear job

Quotation, data sheet, nameplate, manual, and drawing are not copies of one record. They describe different objects or stages. A mismatch matters when two files make different claims about the same field and build.

Quotation. Offered commercial scope, selected build, options, and incorporated files. That every copied technical value is correct.
Set data sheet. Declared rating, conditions, size, components, and options for its stated scope. The result for a future serial unit.
Nameplate sample or photo. Fields shown on that plate or proposed artwork. That the same plate belongs to the unit later shipped.
Manual. Instructions, limits, safety, and service for the models it names. That every option in the book is installed.
Layout drawing. Size, access, mounting, and connection points at one revision. Electrical performance or market approval.
Schematic or interface file. Wiring, outlets, terminals, protection, controller I/O, or communication within its scope. Engine emissions or mechanical build.
Component file. Facts for the engine, alternator, controller, breaker, or accessory named. Automatic coverage of the complete set.

FG Wilson's manual selection page notes that one manual can cover a full product range. JCB also publishes generator quick-start guides by model range. Such guides can be valid, but their title alone does not prove the ordered variant.

Public project specifications from TxDOT and JEA show that a buyer can set detailed submittal rules. They are examples of owner-controlled buying, not a universal import checklist.

Match each performance claim to the right test

A data sheet declares a value. A test report says what was tested. Neither becomes stronger because the folder also contains an ISO number.

The official ISO 8528-6:2023 scope covers test methods for engine-driven sets and says that the maker specifies the traits and tests to be checked. The phrase “tested to ISO 8528-6” therefore does not tell a buyer which build, trait, condition, or result appears in the record.

Request the right evidence for the decision:

  • A declared rating needs its value, unit, duty, electrical build, conditions, and file revision.
  • Type or design evidence needs the tested design and a clear rule for any covered variants.
  • A routine, batch, or serial-unit report needs the unit or batch ID, date, method, conditions, results, and contract limit.
  • A component report must remain tied to that component.
  • An inspection record should state whether it checked identity and appearance or measured performance.

Avoid asking for a vague “FAT certificate.” State whether you need design evidence, a routine test, a witnessed test, or a result for the serial unit. Name the build, measured traits, method, conditions, limits, and required record. Use the rated-versus-peak guide before comparing power values.

Name the destination route before naming the file

There is no single global generator certificate pack. The answer changes with the country, product and engine build, use, responsible party, and legally relevant date.

For the European Union, the Machinery Directive 2006/42/EC and Regulation (EU) 2023/1230 show why the date and document name matter. In the United States, EPA publishes separate engine certification information and import forms. Saudi SASO describes a product tracking and Saber/Fasah process.

These links show that routes differ. They do not decide the route for the reader. Give the exact build, destination, use, and timing to the importer, broker, qualified conformity specialist, or relevant authority. Ask that party to name:

  1. The route and rule in force for the planned transaction.
  2. The exact document or system record required.
  3. The object it covers: engine, complete set, model list, or shipment.
  4. The party that must issue, hold, file, or verify it.

Keep an open route on HOLD. Do not guess from a CE mark, certificate logo, or old shipment.

Audit every conformity record field by field

Once the route is known, treat each file as a scoped record. Check the type, object, responsible parties, model list, cited rules, dates, status method, issuer where relevant, attachments, and limits.

An engine certificate may apply to an engine family rather than the full generator. An annex may exclude the quoted variant. A well-known assessment body may lack the required scope. Some records have an expiry date; others use a model year, shipment ID, registration state, or another control. Do not invent one common validity rule.

A third-party CE checker cannot by itself prove an EU Declaration of Conformity. An official notified-body database can confirm a body's scope when the chosen route uses that body, but it does not approve every maker declaration. EPA channels can help trace a US engine record, while Saber work may rely on an account process rather than a public certificate search.

If no public lookup exists, ask the named route owner or responsible party to confirm the record. Save that reply and state what remains unproven. Do not let a lab logo or generic report stand in for product conformity.

Reconcile product, package, and container facts

“Weight” is not one field. Keep these records apart:

Packing list. Package types, contents, quantities, and transaction weights. Proof of power or conformity.
Loading plan. Packages and proposed securing or placement. Verified gross mass of the packed container.
VGM. Packed-container gross mass under the relevant sea route. Generator net mass or one package weight.

The IMO VGM guidance places the verified packed-container mass with the shipper and allows defined weighing methods. VGM closes a container-mass question. It does not fix an unclear data sheet or packing list.

Packaging print provides identifiers to reconcile with the quote, package record and packing list. It does not prove carton contents, exact configuration, warranty terms, packed mass, conformity or shipment assignment.

Before the PO, define the package fields the supplier must return. State whether batteries, loose exhaust parts, tools, spares, fluids, and documents share the same package. Ask for lifting or centre-of-gravity data when the set, carrier, or project needs it; do not call it a universal import rule.

Treat batteries, fuel, and wood as transport inputs

Do not classify a shipment from the word generator. Give the actual condition to the carrier, forwarder, broker, or dangerous-goods specialist for the chosen route.

  • For a battery, record chemistry, maker and model, rating, quantity, condition, and whether it is installed or packed apart.
  • For fuel, record the type and the real state of the tank, lines, and carburetor, plus any drain or purge work.
  • For wood, record whether solid raw wood is present, its form, treatment, marks, and destination.
  • For the route, list every sea, air, road, and transfer leg plus the final package build.

PHMSA's Lithium Battery Guide for Shippers separates duties by chemistry, size, and packing. It does not support one battery document for every generator. The official ISPM 15 text covers stated wood packaging and excludes some thin or processed wood materials.

This checklist does not assign a UN number, packing group, dangerous-goods name, SDS, or UN 38.3 need. The responsible transport parties must decide those points from the real goods, pack, mode, and route.

Freeze accepted revisions into the PO

The buyer needs a register that keeps old files and open conflicts visible. A simple register includes the document title and number, source, covered build or shipment, revision, issue and receipt dates, review state, conflict ID, owner, resolution evidence, PO baseline, and superseded link.

Use exact states such as received, under review, conflict open, accepted for quotation, accepted for PO, superseded, and not applicable. The word approved is too loose. It may be mistaken for authority approval, engineering sign-off, or commercial acceptance.

Close the pack in this order:

  1. The supplier maps each required file to the configuration key.
  2. The buyer records every material mismatch by field and revision.
  3. The party named in the contract closes it with a revised file, signed reply, accepted change, or PO amendment.
  4. Old files are marked superseded; only accepted-for-PO revisions enter the baseline.
  5. The PO states when final serial or batch records must be added.

Do not solve a mismatch by taking the larger power value or the newest-looking PDF. For a new quote, send the destination, use, electrical build, and configuration key together. Buyers can review the generator catalogue, use the voltage and frequency checklist, and send the controlled requirement through the contact page. A supplier reply becomes order evidence only after its object, scope, revision, and conflicts are clear.
