Build a first-order generator spare-parts RFQ from exact set identity, controlled source revisions, purpose tiers, replenishment fields, and change control.

A first-order generator spare-parts kit must fit a named group of units, not a copied list of “common parts.” Record each group's build, engine, alternator, controller, serial or bill-of-materials (BOM) range, destination variant and source revisions. Then assign parts to commissioning, fast-moving or contingency stock. Return or hold a line if evidence of fit or the buyer's quantity basis is missing.

Start with the installed base, not a generic kit

Define which units the kit will support before naming a part. On a first purchase, that group may be an ordered batch, not an installed fleet. The question is the same: which units can use the same part according to the controlled records?

Do not group units by family name or enclosure style alone. Check for differences in the engine, alternator, controller, panel, start method, output, destination version and options. Also check serial/BOM ranges and source revisions. Keep groups separate until the records confirm that the same part fits.

Create one identity record for each real population:

Destination variant Country/project version, voltage, frequency, phase, connection, enclosure, emissions-related or other documented option. A different-market unit is treated as equivalent.

Similar-looking housings still require exact part, BOM and serial-range identification. The image does not prove interchangeability, availability, stock quantity, quality status or compatibility with a BEAR generator.

Photographs help locate nameplates or distinguish visible layouts; they do not close the identity record. The controlled quote, configuration sheet, nameplates, drawings, manuals, catalogues, and written supplier return must agree. Use the generator document checklist when the order file is still incomplete.

Register the documents that control each parts decision

Register each source before extracting part numbers. Record its title, number, issue or revision, date where shown, and publisher or owner. Add the model/build, serial/BOM range, source location and evidence status. Without that link, a later catalogue change can leave a part number with no traceable basis.

One generator may require several source layers:

Add a service-event source map. Give every documented event a buyer-controlled ID and link it to the source title/revision and precise page, section, table, figure, or note. Copy the event meaning faithfully. Do not turn an unspecified condition into an invented hour interval, calendar schedule, or replacement quantity.

Where the exact catalogue or manual is unavailable, record the gap before requesting price. A supplier can be asked to identify the correct source, but its reply must state the object and applicability range. “Recommended spares” is a proposal to review, not an authority that overrides the installed-base record.

Separate commissioning, fast-moving, and contingency purposes

These tiers answer why a buyer may hold a part. They do not answer which part fits, how many units to buy, or how often anything must be replaced.

Commissioning rows support named receipt, setup, acceptance, or initial service events in the buyer's project plan and applicable documentation. The row needs an event reference and exact part identity. Do not use the tier to smuggle in a generic startup bundle.

Fast-moving rows cover forecast service demand for the defined units. Count parts per event only from the source, then use the buyer's planned events, usable stock and replenishment policy to set the order quantity. “Fast-moving” does not state a part's service life.

Contingency rows respond to a defined failure scenario, access constraint, downtime consequence, or remote replenishment exposure. The buyer should document the failure boundary, affected population, storage feasibility, available substitution route, and risk owner. A costly component does not automatically belong in this tier, and a small component does not automatically belong in the fast-moving tier.

Purpose classification happens only after the identity gate. Applicability comes from controlled evidence; requested quantity comes from the buyer's supported population, events, replenishment plan, and risk policy.

One item may serve more than one purpose, but do not collapse the reasoning. Use separate demand lines or a transparent calculation so reviewers can see which portion supports commissioning, forecast service events, or contingency exposure. This also prevents a supplier's suggested quantity from being mistaken for the buyer's stocking decision.

Show the quantity calculation beside each purpose, not inside a kit description. Keep separate cells for the covered units, sourced parts per unit or event, planned events, usable stock and buyer-approved contingency input. Name the owner and freeze date of each input. The total is an order instruction, not a maintenance rule or a ratio for another fleet.

Finally, review overlap across the three purposes before totaling the row. The same physical units should not be counted twice simply because the part supports more than one scenario. If an item has a storage, preservation, shelf-life, transport, or pack-multiple constraint, keep that constraint beside the calculation so the proposed stock position can be reconsidered rather than rounded up invisibly.

Build one controlled row per candidate part

Give each candidate part a row that stands without the original sales conversation. Start with a buyer row ID and neutral description, then establish the exact purchasing identity with these fields.

Carry the controlled buyer row onto the quote and package label so receipt can be matched to the same purchasing identity. Any substitute opens a new review.

Keep part-status terms distinct: “genuine,” “OEM,” “approved equivalent,” “aftermarket,” “compatible” and “superseded” do not mean the same thing. Require the claimed status, who makes the claim, its source, old and new part numbers, and the range affected.

For a proposed change, request any limits on fit, function, firmware, mounting, connectors, materials or performance. Keep warranty and approval limits beside the same row.

If the buyer does not yet know the part number, leave that field blank and request identification against the controlled identity and source records. A guessed number creates false precision and may steer every later check toward the wrong object.

Compare replenishment and supplier returns on one basis

Compare price only after part identity, applicability, quantity basis, and commercial terms align. Require each supplier to return the same fields on every row:

  • Exact quoted manufacturer/source and part number, description, status, and country/source information where contractually required.
  • Confirmed set, subsystem, configuration, destination variant, and serial/BOM applicability.
  • Source document title/revision and attachment supporting the match.
  • Supersession, substitution, or interchangeability statement, including limitations and approval path.
  • Quote quantity, unit of measure, unit price, currency, validity, MOQ, pack multiple, and offered Incoterm with named place.
  • Availability or lead-time basis, the date of that basis, dependencies, and whether it refers to stock, production, or an estimate.
  • Inner/outer pack method, row-level label fields, preservation and storage information where applicable.
  • Future replenishment contact or channel and how catalogue or part-number changes will be communicated.

Keep dynamic commercial fields dated. An MOQ, pack multiple, price, or lead-time statement from the first quote is not a permanent product fact. The order should say which quote number, date, revision, terms, and attachments are incorporated.

Return an offer that has any of these gaps:

  • one price for an undefined “kit,” or descriptions without manufacturer part numbers;
  • a whole-family fit claim with no serial/BOM range or source revision;
  • mixed genuine and alternative statuses, or an unapproved substitute;
  • quantities with no buyer or source basis;
  • lead time with no date, condition or delivery basis.

Use the supplier evaluation checklist to verify who is making the compatibility and sourcing statements. A clear spreadsheet cannot compensate for an unclear contracting entity or an untraceable manufacturer return.

Verify labels, packing, samples, and receipt identity

The approved row can still be lost between quotation and receipt. Define the receipt trail before the purchase order is released.

For each row, agree what must appear on the item, inner pack and outer pack. Select the fields needed to match receipt: buyer row ID, supplier/manufacturer part number, description, quantity and unit, and PO reference. Add batch, date, serial or handling marks where required. One generic carton label cannot identify mixed contents.

If a sample or pre-production check is justified, define what it can prove. It may confirm the returned label, number, connector, dimensions, packaging, supplied documents, or other stated characteristics. It does not by itself prove compatibility across an unstated serial range, future production consistency, service life, or every delivered piece. Keep the approved sample identity and acceptance record linked to the row.

At receipt:

  1. Match the shipment and package references to the purchase order and approved quote revision.
  2. Match outer and inner labels to the controlled row before parts are mixed into stock.
  3. Check the received manufacturer number and any supersession against the accepted evidence.
  4. Confirm the quantity and unit of measure without converting pack count silently.
  5. Preserve applicable documents, certificates, storage instructions, and batch/serial references with the stock record.
  6. Quarantine mismatches and record them as exceptions; do not relabel an unresolved substitute as the approved item.

When serials or BOM ranges were pending at RFQ stage, the final shipped-set record must be reconciled with the kit before acceptance. A change in the generator configuration, engine, alternator, controller, destination variant, or governing document may reopen affected spare rows.

Decide COMPARE, RETURN, or HOLD

Use a row-level state so evidence gaps do not disappear inside an attractive total price.

COMPARE means the row identity, applicability, source revision, purpose, quantity basis, commercial basis, packaging/receipt controls, and change conditions are sufficiently aligned for commercial comparison. It does not mean final engineering, warranty, regulatory, or purchase approval.

RETURN means the supplier can correct a defined gap: for example, add the serial range, identify the source revision, separate mixed statuses, date the lead-time basis, disclose the pack multiple, or document a proposed supersession. Name the missing field and required evidence rather than asking for a “complete quote.”

HOLD means the buyer cannot yet establish the correct object or has an unresolved ownership, configuration, source, contract, storage, transport, warranty, or change-control question. Keep it visible. Do not turn an unknown into zero demand, a guessed part, or a silent deletion.

Apply the decision to each line and then to the package. A quotation is not ready for order merely because most rows are comparable. Identify whether the unresolved rows are excluded, returned, or order-stopping, and record the authorized owner of that decision.

Send one controlled RFQ and supplier return packet

The closing packet should be compact enough to use and complete enough to audit. Include:

  1. RFQ number, date, revision, buyer/project identity, response date, currency, requested Incoterm/named place, and document-control rules.
  2. Installed-base groups with unit counts, exact generator configurations, serial/BOM status, destination variants, and relevant engine, alternator, controller, and option identities.
  3. The controlled document register and service-event source map.
  4. One candidate row per requested item, with tier, rationale, source reference, buyer quantity basis, and the supplier-return fields above.
  5. An instruction not to infer fit from model family, description, dimension, or appearance and not to substitute a part, source, label, pack, or document basis without written approval.
  6. A supplier declaration limited to the stated identities, applicability ranges, destination variants, and document revisions.
  7. A buyer release block with COMPARE, RETURN, or HOLD, the reason, reviewer, date, accepted quote revision, and remaining change controls.

Ask for blanks or “not confirmed” where evidence is unavailable. That is more useful than a polished but untraceable answer. If the requested configuration and parts path are ready, review the OEM/ODM process and send the controlled packet through the contact page. The resulting reply becomes order evidence only after it is tied to the same identity records, revisions, and row decisions.
